What I Still Find in Old Order Logs
A search log in our corner of the building industry can be a strange document. One line says “louis armstrong cool yule.” Another says “armstrong cable ashland ohio.” A third asks “who makes the best heating and air conditioning units.” A fourth, often typed quickly, says “coupe glass” when the project actually needs tempered glass. The shared term is Armstrong, and that shared term creates real specification mistakes when it moves from a search box into a purchase order.
I have worked with specification orders for commercial ceilings, flooring, and air-moving equipment since 2017. I have documented thirty-one of my own ordering mistakes in that time. By my rough count, they cost about $68,000 in rework, return freight, and schedule pressure. I do not have hard data on how often the same-name problem affects other product categories. What I do have is a log of errors and near misses, plus a written pre-order checklist that has made the last few years noticeably cleaner. These are the six steps on it.
Step 1: Name the Category before You Name the Brand
Armstrong alone is not a product. In December, an Armstrong search can return holiday music, cable television, and heating equipment before it returns a ceiling panel. When a request says only “we need Armstrong,” I cannot tell whether the project needs a ceiling, a floor, an air handler, or none of the above. The first line of our checklist therefore forces a category: ceiling systems, flooring, or air distribution. The category does not replace the brand. It simply prevents the brand from being guessed.
Step 2: Define the Assembly, Not Just the Component
After the category comes the assembly. A 2 × 2 acoustical tile is not a ceiling system; it needs a suspension grid, hangers, edge details, layout drawings, and a description of how lights, diffusers, and sprinklers interact with the grid. What I mean is that every product line should read like a small story: what holds it, what touches it, and what performance it must provide.
Tempered glass is the same. The words say that the glass went through a heating and quenching process. They do not say whether the glass is interior or exterior, how thick it is, what frame supports it, or whether the location requires safety glazing under the applicable code. In an interior high-traffic area, the standard often answers that last question. The point is not to avoid using the term tempered glass. The point is to make sure the next person can order it without guessing.
Step 3: For Heating and Air Conditioning, Ask for the Best Fit, Not Just the Best Claim
Who makes the best heating and air conditioning units? That is a fair question and almost impossible to answer honestly without job details. The best unit for one building can be genuinely wrong for another building.
When I hear that question, I ask four things first. First, is there a calculated load? A unit sized by square footage alone is a guess, and guessing is how comfort complaints start. Second, what fuel and utility rates are available? That determines whether the design should favor electric, gas, heat pump, or a hybrid approach. Third, are the efficiency claims verified? Look for ratings from recognized test procedures rather than adjectives on a brochure. Fourth, how will the unit be serviced in this location? A great unit with no local parts support is a bad unit for that project.
An honest equipment recommendation is a list of conditions, not a one-line answer. If someone answers the best-unit question without asking about the building, you are probably talking to a salesperson rather than a consultant.
Step 4: Put Part Numbers and Submittals in the Same Conversation
A purchase order is not a place for adjectives. In 2019, I approved an order line that referred to a manufacturer name and a “project standard” without a catalog number. If I remember correctly, the wrong product arrived, and the replacement took three weeks—or rather, four when we counted the shipping error. Now every order line must include a product identifier, a finish or color code, dimensions, quantity, and an approval status. If the project requires a submittal, the order says so before production starts.
Step 5: Let Standards Do the Arguing
Standards do not make a project exciting, but they settle arguments faster than opinions. For acoustical ceilings, ask for the ASTM E1264 classification and a Class A result under ASTM E84 for flame and smoke. For tempered glass, confirm which safety glazing standard applies and require the permanent mark where the code requires it. For heating and cooling equipment, ask for ratings from AHRI or the applicable DOE test procedure rather than unverified performance claims.
At least, that has been my experience on U.S. commercial projects. Code editions move, so the habit of checking the current edition matters more than memorizing a standard number. Write the edition and the date into the project file.
Step 6: Date Every Decision
Every order file needs a date and a project phase. Products get superseded, finishes get discontinued, and manufacturers revise installation instructions. In 2022, one of our teams chased a submittal for four days before noticing that the drawing referenced a product replaced two years earlier. The specifier was competent; the file simply had not been updated. A weekly review date or a drawing revision block prevents that particular form of expensive confusion.
What I Still Find in Old Order Logs
When I look back at my own mistakes, most came from one word trying to carry too much meaning. Sometimes a note says “coupe glass” when the intent was “tempered glass”; a coupe may be fine for a toast after the job, but it is a poor glazing specification. That sounds funny until the request reaches a supplier who has to guess.
The second most common error is asking a broad question, such as who makes the best heating and air conditioning units, without including a building size, climate, fuel type, or efficiency goal. The question is not bad; it is just incomplete.
No checklist can prevent every error, and I would not promise that. What it does is make errors cheaper and faster to catch. An informed customer asks better questions, and better questions are what keep a wrong Armstrong order from ever getting on a truck.
